Whatever the size, events have one thing in common: for a few intense hours, you need far more hands than usual, and then you don't need them at all. How many staff do you need?
There's no universal formula, because it depends on the menu, service style, venue layout and your guests. Instead of copying someone else's ratio, answer these questions:
- Service style. Plated service needs more waiters than a buffet. A cocktail event with passed snacks needs people constantly moving.
- Peak moments. When will everyone arrive at once? When is dinner served? Plan staff for the peak, not the average.
- Venue layout. Multiple levels, a long walk from parking or a beach setting all add time.
- What your caterer or venue already provides. Ask exactly which staff are included, for how many hours.
- Breaks. For long events, plan for staff breaks, especially in Goa's heat.
Discuss these with your caterer and coordinator, then book the gaps by the hour.
Booking: timing matters
Wedding season and the holiday period are busy in Goa. Book early. - The layout: kitchen, bar, washrooms, first-aid kit, emergency exits.
- Special guests and needs: elderly guests, children, dietary restrictions, VIPs.
- Do's and don'ts: no phones on the floor, how to handle complaints, where staff can eat.
Print a one-page sheet and hand it out, or share it in your event group.
Food safety and hygiene
If staff will handle food, hygiene is non-negotiable: clean uniforms, hair tied back, handwashing, and keeping hot food hot and cold food cold. The Food Safety and Standards Authority of India runs FoSTaC training for food handlers; caterers and kitchen staff with this training are a plus. More information is on the FSSAI website.
Valets and guests' cars
Valet service involves guests' vehicles and keys, so:
- choose attendants with a valid driving licence and experience;
- use a simple token system for keys and keep keys in a secured spot;
- agree where cars will be parked and check that it's allowed;
- brief valets on the venue's entry and exit routes.
Respect the people working your event
Event staff work long hours on their feet. Provide water, a place to rest and a meal if the event runs through dinner. Clear instructions and basic respect get you better service, and better ratings for staff who deserve them.
